Barcode, QR or RFID: The Short Answer
For most Indian plants and offices, a printed barcode on a durable substrate is the right tag, and the money saved is better spent on adhesive and register accuracy than on a more sophisticated reader. Barcodes are the cheapest identifier per asset, they print on equipment you already have, and any handheld or phone camera reads them. QR codes cost the same to print and hold considerably more data in the same physical footprint, which earns its place when the scan should open a maintenance history or a manual rather than simply return a number. RFID is the only one of the three that reads without line of sight and in bulk, so it belongs where assets sit inside enclosures, behind panels or racked out of view, and where a person physically moving things is the actual cost being avoided. The unit cost is several times higher, so RFID is justified by access difficulty rather than by preference.
Barcode Tags in Indian Conditions
A barcode is the cheapest identifier available and prints on equipment most businesses already own, which is why it remains the default across Indian plants and offices. The cost sits almost entirely in the substrate rather than the printing: a paper label costs a fraction of a polyester one and lasts a fraction as long, and the choice between them is the only cost decision that matters. Printing can be done in-house on a thermal transfer printer, which suits estates that tag continuously, or ordered pre-printed, which suits a one-time programme. Where barcodes fail on an Indian shop floor is predictable and worth designing around. Heat degrades adhesives, so labels on or near hot surfaces lift at the corners and then peel entirely. Oil and coolant attack both the adhesive and the printed surface, and a label that has been wiped with solvent a few dozen times will no longer scan. Abrasion from cleaning, from passing traffic and from operators' hands wears the printed area first. Direct sunlight bleaches thermal print within months. None of these is a reason to avoid barcodes; each is a reason to specify the substrate against the environment rather than buying one label for the whole estate.
QR Codes and What They Add
A QR code holds substantially more data than a linear barcode in the same physical footprint, and that density is what it is actually for. Where a barcode returns a number that then has to be looked up, a QR code can carry the number together with a description, a location reference, or a link that opens a maintenance record on whatever device scanned it. On an estate where the person scanning is a technician rather than a counter, that difference changes what the tag is worth. The second advantage is that it reads on an ordinary phone camera without any dedicated hardware, which removes the reader cost entirely for occasional users and makes it practical for site staff to verify an asset without a scanner being issued. Damage tolerance is the third and least understood advantage. QR codes carry error correction, so a code with a proportion of its area obscured, scratched or torn will still decode, whereas a linear barcode with a scratch across the bars will not. On a floor where labels take physical punishment, that redundancy is often the deciding factor rather than the data capacity.
RFID: When the Cost Is Justified
RFID solves exactly one problem the optical tags cannot: it reads without line of sight and it reads in bulk. A reader swept through a store room returns everything present without anybody touching, opening or moving anything, and that is the whole case for it. Where assets sit inside enclosures, behind panels, stacked, or racked in positions that require a ladder, the labour avoided is the return, and it recurs at every count rather than once. Two physical constraints limit it, and both are commonly discovered after purchase. Metal detunes and reflects the signal, so a tag applied directly to a metal surface will frequently not read at all unless it is a type specifically designed with a spacer for that purpose. Liquids absorb it, so tags on or near containers of fluid read unreliably. Both are solvable with the right tag specification and both add cost. The real expense, though, is neither the tags nor the physics. It is the reader infrastructure: handhelds, or fixed portals where continuous reading is wanted, plus the software to make sense of a stream of reads that records presence within a radius rather than presence at a location.
What an Auditor Can Actually Verify
The tag type changes what can be verified, which is why it is an audit question and not only a procurement one. Legibility at verification time is the first constraint. A barcode that has been painted over, abraded by cleaning or bleached by sunlight cannot be scanned, and an asset with an unreadable tag is treated as untagged regardless of what it cost to apply. Verification therefore records not only whether a tag exists but whether it was actually readable on the day. The second constraint is cloning and transfer. An optical tag can be photographed and reproduced, and any tag can be peeled off one asset and applied to another, so a scan alone establishes that a number was present rather than that a particular asset was. Corroboration comes from the serial number or another fixed characteristic recorded against the line. The third is the count method itself. Bulk-readable tags let a room be swept and a population read without touching anything, which is faster but records presence within a radius rather than presence at a specific location, so location accuracy has to be established separately.
Choosing for Your Own Asset Base
Match the tag to the environment rather than to the budget, because a cheap tag that fails in eighteen months is the most expensive option available once relabelling and the lost audit trail are counted. Walk the estate and ask what the label will actually face: heat, solvents, washdown, abrasion, direct sunlight, or nothing worse than office dust. Those conditions determine the substrate and the adhesive, and they matter considerably more than the choice between barcode and QR. Mixed estates should carry mixed tags, and there is no virtue in a single tag type across a business that runs a machine shop and a head office. What must stay uniform is the numbering scheme; the physical label can vary by environment without any loss of consistency. Pilot before committing wherever the environment is unusual or the volume is large: tag one area, leave it through a full operating cycle including whatever cleaning regime applies, and inspect it before ordering for the estate.
