What Xero Accounting Costs and Covers for Delhi Businesses

📌 TL;DR - Xero Accounting Services at a Glance

Xero bookkeeping in Delhi combines a cloud ledger with the GST and TDS reporting Indian filings demand. The audit-trail export is produced monthly, ahead of the capital's 24th filing date. Patron configures bank-feed rules, multi-currency revaluation and Xero-to-GST mapping for export-facing firms in Connaught Place and Okhla. Appropriate for Indian subsidiaries of overseas parents on Xero.

Books kept only in a global chart of accounts fail at the point of filing: input credit cannot be traced back to invoices, and deductions sit uncaptured until a notice arrives. Xero bookkeeping run from Delhi therefore codes entries against Indian tax heads from the day the ledger opens, reviews feeds weekly rather than at quarter end, and tags vendor deductions as bills are entered. Our guidance for firms billing overseas clients sets out that coding.

Growth across the state line is what changes the file most. An office added in Noida or Gurugram is a distinct person under the same PAN, so the group carries a second ledger set rather than a second tracking code, and every inter-branch charge is posted twice, once on each side. Filing cadence then follows turnover, as the GST portal sets out. Fresh registrations are commissioned independently.

What Do Xero Accounting Mean for Delhi Businesses?

Each coded transaction is the unit of work here. Each line imported into the Xero ledger is matched to a bank rule, allocated to the right account and tax head, then reconciled before it can distort the file. Xero bookkeeping in Delhi is organised around keeping that stream clean day to day, not sorting it out at quarter end. Hubdoc captures the source document behind each entry.

Xero holds the cloud ledger, but the Indian filings are prepared from it in a separate step, since the software issues no Indian return. What decides the effort in the capital is corporate structure. A firm with an office across the NCR line is a distinct person under one identity. It therefore runs a separate Xero organisation rather than one file split by tracking category, each coded and reconciled on its own. Xero bookkeeping in Delhi keeps every one of those separate files current.

Key Terms for Xero Accounting:

  • Multi-Currency Bank FeedAn automatic import of bank transactions in more than one currency into the accounting ledger.
  • Xero Bank RulesPreset conditions that auto-code recurring bank lines to the right account in Xero.
  • Hubdoc AutomationA tool that captures bills and receipts and pushes their data into Xero.
  • Automated Bank FeedsA direct link importing bank transactions into the ledger without manual statement entry.
What Is Xero Accounting. A cloud ledger stays reliable only while someone owns it day to day. Xero bookkeeping in Delhi

Who Needs Xero Accounting in Delhi: From Connaught Place to Growing SMEs

Xero bookkeeping in Delhi fits firms running the cloud ledger from offices around Nehru Place and Barakhamba Road, where GST, TDS and Schedule III still get worked outside it. Xero carries no Indian bank feeds, so statements are imported by hand.

  • Nehru Place software exporters invoicing clients abroad who want revenue in one cloud ledger, not currency spreadsheets.
  • Indian arms of overseas groups whose parent keeps group books on Xero and expects the Delhi entity to match.
  • Directors sitting abroad who log into the same organisation to read Delhi numbers directly.
  • Startups near Barakhamba Road setting up an India organisation on Xero, part of wider startup accounting in Delhi.
  • Firms whose Delhi bank statements will not feed into Xero, leaving each line imported and reconciled by hand.
  • Netaji Subhash Place traders needing GST and TDS prepared around Xero, which runs no Indian statutory returns.
  • Employers running Delhi payroll with no profession tax, only Labour Welfare Fund, still owe GST and TDS compliance.

Our Process

How Xero Accounting Works in Delhi — Step by Step

How Patron delivers xero accounting for Delhi businesses, step by step.

Step 1

Organisation setup for India

The Xero organisation is created on the Global edition with INR as base currency and the financial year ending 31 March. The chart of accounts is rebuilt to Schedule III groupings, because the default Xero chart is not built for Indian statutory presentation.

Illustration for Organisation setup for India: The Xero organisation is created on the Global edition with INR as base in Delhi
Step 2

Building CGST, SGST and IGST

Because there is no Indian tax localisation, we create custom tax rates with the components your supplies need: CGST and SGST for intra-state, IGST for inter-state, plus nil-rated, exempt and reverse-charge rates. Defaults are then set per contact and account.

Illustration for Building CGST, SGST and IGST: Because there is no Indian tax localisation, we create custom tax rates with in Delhi
Step 3

Statements imported, not fed

Indian bank accounts do not feed into Xero, so each month we take the statement from your bank and import it as OFX, QFX, QIF or CSV. Bank rules are then applied and every account is reconciled to the statement closing balance.

Illustration for Statements imported, not fed: Indian bank accounts do not feed into Xero, so each month we take the in Delhi
Step 4

Sales, bills and tracking

Invoices and bills are entered with the custom GST rate and the counterparty's state recorded, since Xero has no place-of-supply field. Tracking categories carry state, branch or cost centre so the data can be cut the way the GST return needs later.

Illustration for Sales, bills and tracking: Invoices and bills are entered with the custom GST rate and the counterparty's in Delhi
Step 5

GST work done outside Xero

Xero does not generate Indian GST returns or reconcile GSTR-2B. We export the tax detail from Xero and prepare the outward and inward workings against the portal's auto-drafted GSTR-2B in a separate working file. Filing happens on the GST portal or a third-party tool.

Illustration for GST work done outside Xero: Xero does not generate Indian GST returns or reconcile GSTR-2B. We export the in Delhi
Step 6

Payroll posted as a journal

Xero does not run Indian payroll, so it is processed elsewhere and journalled in each month, tying to the salary register and the challans paid. For a Delhi employer that journal carries PF, ESI and salary TDS but no profession tax line, and a half-yearly labour welfare contribution.

Illustration for Payroll posted as a journal: Indian payroll, including PF, ESI, Professional Tax and salary TDS, is not run in Delhi
Step 7

Group reporting and period lock

Where Xero was chosen because a parent or investor already uses it, we set up the report pack and multi-currency revaluation they need. The period is then locked so posted months cannot be edited once reported.

Documents Required for Xero Accounting

Moving onto Xero starts with one trial balance and the invoices still open on that date, to which Delhi adds its establishment certificate and welfare fund statement.

  • An invite for our team into your Xero organisation as Adviser, with the Manage Users permission
  • Your chosen conversion date, and the trial balance from your old system dated the day before it
  • An itemised list of unpaid customer invoices and supplier bills outstanding as at the conversion date
  • Your existing chart of accounts exported to CSV, with account codes, names, types and tax treatment
  • Bank, OD and credit card statements downloaded from net banking in OFX, QFX, QIF or CSV, month by month
  • Bank statements for every business bank account for the full period, in PDF and Excel or CSV
  • Sales invoices and tax invoices issued (including e-invoice IRN/QR files where e-invoicing applies)
  • Registration certificate under the Delhi Shops and Establishments Act, 1954
  • Delhi Labour Welfare Fund Form A statement and half-yearly contribution challan (six months ending 30 June and 31 December)

Xero Accounting Challenges Specific to Delhi: MCD Trade Licensing and NCR Inter-State GST Reconciliation

Delhi Rules for Xero Users — Delhi's Nil Professional Tax, Cloud Ledger Edit Logs

A Delhi company on Xero carries no profession tax on its payroll, so that state deduction never reaches the cloud ledger. What does not change with the platform is the edit-log rule the software itself must satisfy, and the eight-year retention of the records behind it.

So the edit-log rule applies to the cloud ledger in a city with no state payroll tax but a live NCR branch question. Records stay retrievable in India, invoices meet the tax-invoice fields, and a reconciled Multi-Currency Bank Feed keeps foreign receipts in order. Xero bookkeeping in Delhi answers to the provisions below.

  • No profession tax in DelhiThe payroll module carries no profession-tax line, unlike a Maharashtra or Gujarat deployment.
  • Rule 3(1), Companies (Accounts) Rules 2014The cloud ledger keeps an audit trail of every change with its date, switched on all year and never disabled.
  • Rule 3, Companies (Accounts) Rules 2014 with Section 128(1)Remain reachable in India, readable and backed up, and retrievable through the eight-year retention period.
  • Section 25(4), CGST Act 2017A Delhi office and an NCR branch are distinct persons, so inter-branch supplies are invoiced within the same ledger.
  • Section 31 with Rule 48, CGST Act 2017Invoicing carries the tax-invoice fields and, above Rs 5 crore turnover, an IRN. Full platform detail sits on the parent Xero page.

Can Xero handle Indian GST returns for a Delhi business?

Xero records GST-coded transactions and produces the underlying reports, but it does not file Indian GST returns, so data is mapped and exported into GSTR-1 and GSTR-3B formats for portal filing. We maintain that mapping, so a Delhi business gets clean books inside Xero and a return filed on the portal by the 24th without any duplicate data entry.

Does Xero payroll cover statutory deductions for Delhi staff?

Xero's payroll module is not built for Indian statutory heads, so EPF, ESI and TDS under Section 192 are computed outside it and posted into Xero as monthly journals. Delhi has one advantage here: there is no professional tax to deduct at all, unlike Maharashtra or Gujarat. We run payroll separately and reconcile each journal to the deposited challans.

Does the audit trail rule apply to a Delhi company keeping books in Xero?

Yes. Rule 3(1) of the Companies (Accounts) Rules requires every company to use accounting software with an edit log recording each change, which cannot be switched off, and a cloud ledger is not exempt. Xero's history and notes trail meets the record requirement, but auditors want evidence it cannot be disabled. We document the setting and retain dated period-end exports.

Do Xero bank feeds actually work with Indian banks for a Delhi business?

Direct automated feeds from Indian banks into Xero are limited, so most Delhi clients run scheduled statement imports in CSV or OFX rather than a live feed. Once bank rules are configured, matching becomes close to automatic anyway. We set the rules per account, so a Connaught Place business running four accounts still closes within the first week of the month.

How are invoices raised from Delhi to Noida and Gurugram clients coded in Xero?

As inter-state supplies attracting IGST, because Noida and Gurugram sit in different states even when the client is twenty kilometres away. We create separate tax rates in Xero for IGST and for CGST plus SGST and map each customer's registered state, so the GSTR-1 export splits correctly instead of dumping all NCR sales into one intra-state bucket.

Can Xero handle dollar invoices and year-end revaluation?

Yes, Xero is natively multi-currency, recording invoices at the rate on the date and revaluing open foreign balances at period end so realised and unrealised differences stay separate. Your rupee reporting then holds up in audit. We fix the rate source and the revaluation date policy at setup, because changing it midway makes prior year comparatives unusable.

Should a Delhi business run Xero or Zoho Books?

Zoho Books is built for Indian GST and files returns directly, which suits a purely domestic Delhi business, while Xero suits companies with an overseas parent, foreign investors or auditors already working in Xero. QuickBooks is not on the list, because Intuit withdrew it from India in 2023. We work in both and will say plainly which fits your reporting line.

How is Tally data moved into Xero without losing history?

Opening balances are converted as at an agreed cut-off date, with trial balance, debtor and creditor ageing, stock and tax positions signed off in writing before the first Xero entry. Historical years remain in Tally as an archive, which satisfies the eight financial year preservation requirement under Section 128(5). Most Delhi migrations run one month in parallel before Tally is retired.

What does Xero bookkeeping cost in Delhi, and is the subscription included?

Fees are quoted on monthly transaction volume, the number of bank accounts and currencies, and whether GST and TDS filing support is included, separately from your Xero subscription, which Xero bills you directly. A single-entity Delhi company with two bank accounts costs materially less than a multi-currency group. We quote after reviewing one month of statements. Amounts exclude GST.

Is a Xero login required, and does anyone visit the Delhi office?

We work as a named user inside your own Xero organisation, so you keep ownership of the subscription and can see every action in the history trail. Work runs remotely, with visits to your Connaught Place, Nehru Place or Okhla premises arranged for audit support or a physical stock count. We do not maintain an office in Delhi.

Quick Answers

Books kept only in a global chart of accounts fail at the point of filing: input credit cannot be traced back to invoices, and deductions sit uncaptured until a notice arrives. Xero bookkeeping run from Delhi therefore codes entries against Indian tax heads from the day the ledger opens, reviews feeds weekly rather.

Xero Accounting Deadlines in Delhi You Cannot Afford to Miss

TDS / TCS deposit (Challan ITNS-281) is due 7th of every month (30 April for March). GSTR-1 (outward supplies) is due 11th of every month for monthly filers. Provident Fund (ECR) and ESI contribution is due 15th of every month. Patron tracks each against your books so nothing is reconstructed after the fact. Call +91 94594 56700 to set up a filing-reminder schedule.

Start Your Xero Accounting in Delhi with Patron Accounting

Cloud versus desktop is not the question. It is which record the Indian filings are prepared from, because Xero produces no Indian GST return and carries no Indian bank feed, so that work sits outside it either way. Xero bookkeeping in Delhi is therefore a question of how the two halves are joined.

Procurement decisions become possible once the spend data is clean. With every bill carrying a category and a cost centre, spend by supplier is readable at any point in the month, not only after the close. Contracts can then be renegotiated on evidence rather than on impression.

Your parent's mandated chart of accounts settles this: whether Indian tax heads can be added beneath it, or whether a mapping layer is needed. Everything filed in India depends on which of those the group accepts. Our Xero work for Indian entities follows from that.
